Regent · Exchange management

One file per exchange, moving on its own.

Every exchange in Regent is one record: the exchanger and their signers, both properties and their parties, the documents, the money and the history. The file advances through its phases as the facts arrive, and anything that needs a person lands where your team will see it.

The flow

Phases and steps that complete themselves.

PhaseSteps
OpenOpen the exchange, invite the customer, intake, identity verification, entity documents, relinquished property, opening package, notice of assignment to the buyer, closing instructions and wire letter to escrow, state and foreign forms.
Funds receivedRecord the closing, record the receipt, the deadline letter, the tax-return due date.
Identification periodIdentify replacement property, review the identification, the day-45 check.
Exchange periodReplacement contract, replacement package, escrow instructions, earnest-money disbursement, closing disbursement, record the replacement closing.
Closing outResidual funds, the final accounting, the tax package, the completion outcome.
Each file keeps the version of the flow it opened on, so a change to the flow never rewrites a file in progress.
  • A step completes when its data or document arrives
  • A processor can force a step or a phase, with a written reason
  • History shows which moves were automatic and which were forced
  • Failed and cancelled files have their own steps, through the return of funds
  • Completion records whether the exchange was fully deferred or had partial boot
  • A failed file can be reopened while the money is intact

Follow-ups

Collect it later without losing it.

Not every detail is in hand on the intake call. A processor can mark a missing field or document “collect later”, and the file keeps moving. The gap becomes a follow-up, counted on the file and in the exchanges list, until someone fills it.

The file’s tabs show their own to-do counts, so a processor opening a file sees at once that the properties need an APN or the documents are waiting on a signature.

The workbench

Start the day with what needs you.

Needs you

Files waiting on a person: a notice to review, a file that looks failed, a sale that closed before the documents were signed.

Deadlines

Every day 45 and exchange-period end in the next 14 days, and anything missed.

Funds held

Received, paid out, approved but not sent, and held, across the firm.

The record

People, properties and parties, done properly.

  • Exchangers as individuals, trusts or entities, with formation state, vesting name and each signer's capacity
  • Relinquished and replacement properties with address, APN and legal description, sale price and closing dates
  • Buyer, seller and closing agent on each side; outside parties work through secure links, not accounts
  • Identity verification and sanctions screening for the exchanger and signers
  • A History tab with every field change, before and after
  • ⌘K search across files, people, properties, documents and escrow companies

Straight answers

Questions processors ask

Does Regent handle reverse or improvement exchanges?
Not today. Regent runs delayed (forward) exchanges. Reverse and improvement exchanges, with an exchange accommodation titleholder, are not built.
Can one file have several exchangers?
One exchanger per file, which can be an entity or trust with several signers.
Can we export our files?
There is no export or report builder today. Ask us on the call what you need to see, and we'll show you where it lives.
How do escrow officers and buyers take part?
Through secure, code-protected links: they submit documents, closing instructions, wire instructions, settlement statements and acknowledgments without an account.

Bring us your messiest open file.

We'll rebuild it in Regent on the call, and you can judge the difference yourself.
